M.video integrated retail sales planning using the SAP BW on HANA platform
At "M.Video.", the world's largest network of electronics and home appliance stores, a project to automate the process of generating a shop sales strategy, coordinated by SAPIENS and NOVARDIS, has been completed.
Increased accuracy, reduced planning time, and provided the requisite granularity of anticipated data were all attainable thanks to the SAP BW on HANA platform solution.
Previously, M.video employed algorithms from MS EXCEL workbooks for sales planning, and the approval procedure was handled using MS Outlook. Users had to devote a significant amount of time on planning and preparation. Furthermore, the old planning technique could not meet the demands of a steady expansion in the number of shops, could not handle the rising volume of data, and did not satisfy the standards for plan quality and detail.
Olga Emelyanova, Head of the Budgeting and Analytics Department
The most important aspect of the Retail staff incentive system is sales planning, which necessitates a transparent approach in terms of both the quality of the source data and the algorithms used in the system.
In 2014, two factors necessitated the transfer of the sales planning system to SAP:
Due to the Company's continued growth, the use of MS Excel and MS Access was no longer possible. This sort of software's speed and scalability no longer matched the size of the company.
The process of coordinating and updating goals with Retail management became a lengthy and time-consuming procedure as the number of outlets grew.
In addition to goal-setting, the sales planning system serves as the foundation for calculating flexible staff work schedules in stores, which necessitates a high level of precision in the plan's details, as any significant deviation can result in an incorrectly drawn work schedule, resulting in sales losses or increased personnel costs.
As part of the project, the following architecture was created:
Due to flexible settings and a system of adjustments, automation of the planning process in SAP HANA enabled the use of more accurate algorithms on a large amount of data, reduced the time for the formation of a monthly plan, and increased the transparency of the formation of a motivational plan for retail store directors.
Lyubov Filimonova, Head of the Budgeting and Planning Group
We were able to significantly improve the quality of statistical data used for planning with the help of system cleaning from the impact of stocks and extreme emissions, and we were also able to apply different approaches to planning goods and services without the risk of out-of-system errors and failures associated with the constant increase in the number of stores, thanks to the automation capabilities on the SAP HANA platform. We were able to achieve end-to-end and immediate recalculation of data at the highest level of detail after each modification, at each stage of the process, considerably improving the quality of analysis while avoiding the danger of data integrity loss. We were able to eliminate manual data copying on a big scale, decreasing mistakes, saving time, and conserving resources.
The automated procedure of determining the monthly plan in one-hour intervals for all retail establishments, taking into account the stores' operating hours, is a unique aspect of the project. It is impossible to make such a precise computation manually for 400 businesses. This procedure allowed for the creation of flexible employee recruitment timetables and the proper distribution of tasks, resulting in lower personnel expenses.
The sales planning process is critical to the company's management and involves a significant number of personnel. A pilot start was conducted for around 20% of the participants prior to the system's introduction, demonstrating that the system completely satisfies expectations and allowing them to perform a productive start in SAP BW on HANA without duplication in Excel.
Yuri Efarov, CEO of SAPIENS
The use of huge data processing technologies in the SAP BW-on-HANA system enabled M.video to achieve major business goals with the support of the retail sales planning automation project. With the advancement of information technology, the time has come to optimize the use of gathered data in planning and forecasting systems, mathematical models, and analytical systems.
